Job Summary

The incumbent is primarily responsible for providing efficient administrative support to the recruitment function to facilitate the timely availability of required Group manpower that assist in attracting world class talent.

Main Responsibilities

Essential Duties & Responsibilities by Dimensions:

A. Shareholder & Financial:

- Assist the AVP Recruitment Affairs & On-Boarding in ensuring recruitment decisions take into account the cost-benefit analysis while deciding between internal and external recruitment apart from other factors.

- Assist the AVP Recruitment Affairs & On-Boarding in ensuring that the recruitment is done as per manpower plan and approved budget.

- Implements KPI’s and best practices for Senior Manager Recruitment Affairs and On-Boarding role.

- Act within the limits of the powers delegated to the incumbent.

- Promote cost consciousness and efficiency and enhance productivity, to minimise cost, avoid waste, and optimise benefits for the bank.

B. Customer (Internal & External):

- Assist the AVP Recruitment Affairs & On-Boarding to ensure that resources selected complete all the joining / on-boarding process in timely manner.

- Provide timely and accurate information to the external and internal auditors and the compliance function, as and when required.

- Build and maintain strong and effective relationship with the all other related units to achieve the Department’s goals/ objectives.

- Maintain activities in accordance with Service Level Agreements (SLAs) with internal departments/units to achieve improvements in turn-around time.

C. Internal (Processes, Products, Regulatory):

- Monitor and Maintain MRF in Recruitment Tracking System.

- Execute and follow up on necessary actions required to facilitate travel and lodging of the Group’s new expatriate staff members.

- Handling the onboarding process and take required actions to facilitate travel and arrival of new joiners and ensure preparing necessary tools of QNB joiners.

- Assist in the developing process for the day-to-day recruitment producers in order to reach the most professional and efficient ways.

- Provide regular update to the business and management with the required reports of recruitment status

- Review & Prepare employment offers/contracts for the Group’s new staff members as well as employment commencement notifications.

- Follow up on required government approvals & medical tests and obtain reference from Ministry of Interior for new employees.

- Receive and classify recruitment applications and related documents.

- Adhere to approved SLAs related to recruitment process

D. Learning & Knowledge:

- Possess a good understanding of HR recruitment policies and procedures and recruitment techniques/ methods.

- Proactively identify areas for professional development of self and undertake development activities.

- Seek out opportunities to remain current with all developments in professional field.

E. Legal, Regulatory, and Risk Framework Responsibilities:

- Ensure high standards of confidentiality to safeguard commercially sensitive information.

- Comply with all applicable legal, regulatory and internal compliance requirements including, but not limited to, Group Compliance Policies and Procedures (AML & CTF, Sanctions Policy, Data Protection Policy, Fraud Control Policy, Whistle Blowing Policy, Conflict of Interest and Insider Dealing Policy).

- Understand and effectively perform your role under the Three Lines of Defence principle to identify measure, monitor, manage and report risks.

Education and Experience Requirements

- Bachelor Degree preferably with a Major in Marketing, Banking, Finance, Accounting, Economics or Business Administration (related field of study)

- At least 8 years of relevant experience, HR experience in financial services with a specialization in recruitment administrative support preferably within a highly rated international bank
