Job Summary
The incumbent will implement proper procedures in obtaining, preparation and finalization of legal documentation and other supporting documents in form and substance adhering to highest industry and market standards, which are essential for completing a loan application package for business units in HO and International Branches The incumbent will ensure necessary approvals are in place prior to execution of such documents in accordance with the QNB Group’s policies / procedures and pertinent regulatory requirements.
Main Responsibilities
A. Shareholder & Financial - - - - - - -
Ensure strict confidentiality (on a need to know basis only within QNB Risk Division) with regards to customer and
deal data and information handled by the Department / Unit.
Provide high level quality support and advice on all aspects of documentation matters to Business Units.
Coordinate with Unit Head on ways to enhance from time to time the on-going process and spot weakness points
within the unit and set plans to improve it.
Implements KPI’s and best practices for International Credit Documentation.
Promote cost consciousness and efficiency and enhance productivity, to minimise cost, avoid waste, and optimise
benefits for the bank.
Act within the limits of the powers delegated to the incumbent.
Comply with all policies, procedures, and guidelines of QNB, QCB and other relevant regulatory authority.
B. Customer (Internal & External): - - - - - - - - - -
Conduct the necessary checks and balances pertaining to documentation and limit inputs/ updates (to be carried
out by Credit Operations) prior to authorizing disbursement of funds/ utilization of facilities to safeguard the Group
interest.
Maintain open communication with customers, managers in loan department and relevant third parties to ensure
proper and timely processing and submission of all applications / documents for processing.
Conduct smooth operations of the unit by ccoordinating activities with relevant banking units to ensure the efficient
and timely processing of documentation requirements and ensure performance of required tasks, meeting of
stated specifications and standards, and adherence to the Turnaround Times (TAT), as specified in the SLAs.
Provide high level quality support and advice on all aspects of documentation matters to Business Units.
Coordinate with Unit Head on ways to enhance from time to time the on-going process and spot weakness points
within the unit and set plans to improve it.
Conduct the duties of the VP - International Credit Documentation in his absence and during his annual leaves.
To assist customers in all their queries on Bank’s product and seek solution to their requests.
Maintain activities in accordance with Service Level Agreements (SLAs) with internal departments/units to achieve
improvements in turn-around time.
Build and maintain strong/effective relationships with related departments/units to achieve the Group’s objectives.
Provide timely/accurate data to external/internal Auditors, Compliance, Financial Control and Risk when required.
C. Internal (Processes, Products, Regulatory): - - - - - - -
Adhere to QNB Group’s policies and procedures particularly Credit Administration’s guidelines for documentation
& loans process.
Preparation and review of facility documentation ensuring that they meet credit decisions/ requirements prior to
disbursal.
Recommendation to VP International Credit Documentation to approve or decline withdrawals from approved
limits upon request.
Prepare and review the mortgage and pledged assets in a way of security for country branches and relationship
managers and the release request of collaterals
Review Finance and Security documents perfection for International Corporate and Cross border Branches prior
to any drawing (applies for International unit)
Report significant issues to Head of Unit and conduct meetings to discuss pending cases with the Unit Head.
Assure of meeting existing country laws and regulations regarding all collaterals and the legality of documents
used in coordination with the legal department, International Branches and External Lawyers, if any.
D. Learning & Knowledge: - - - - - - - -
Maintain up to date knowledge and understanding of all pertinent local and international regulations as well as
best industry practices pertaining to the overall credit operations, techniques, and methodologies in general and
loan documentation and credit administration in particular.
Maintain close interaction and coordination and hold frequent meetings with Business Banking units within the
QNB Group to gain understanding of business processes and controls in all related credit/ operational areas.
Identify areas for professional development of self and act to enhance professional development of self.
Attend required training courses and meet training objectives of the bank.
Attend meetings with VP - International Credit Documentation and other Credit officers to ensure knowledge,
understanding, and compliance with the Bank’s and Regulators’ policies and procedures.
Exercise high degree of initiative and thinking to perform complex tasks where no procedures or processes are
available.
Proactively identify areas for professional development of self and undertake development activities.
Seek out opportunities to remain current with all developments in professional field.
E. Legal, Regulatory, and Risk Framework Responsibilities: - - - - - - -
Comply with all applicable legal, regulatory and internal compliance requirements including, but not limited to,
Group Compliance Policies and Procedures (AML & CTF, Sanctions Policy, Data Protection Policy, Fraud Control
Policy, Whistle Blowing Policy, Conflict of Interest and Insider Dealing Policy).
Understand and effectively perform your role under the Three Lines of Defence principle to identify measure,
monitor, manage and report risks.
Ensure systematic good outcomes for clients in accordance with Conduct Risk policy.
Support the framework of RCSA, KRI, Incident reporting and remediation, as appropriate, in accordance with the
Operational Risk Management requirements.
Maintain appropriate knowledge to ensure full qualification to undertake the role.
Complete all mandatory training provided by the Bank, attain, and maintain the required levels of competence.
Attend mandatory (internal and external) seminars as instructed by the Bank.

Ensure high standards of data protection and confidentiality to safeguard commercially sensitive information.
Maintaining utmost confidentiality concerning customer and internal bank information obtained during the course
of business and provide such information on a need to know basis only to Senior Management of QNB, Audit and
Compliance functions, and relevant Regulators.
Maintain high professional standards to uphold QNB's reputation and to strengthen its market leadership position.
All other ad hoc duties/activities related to QNB that management might request from time to time.
Education and Experience Requirements
- Bachelor’s degree preferably with a Major in, Banking, Finance, Accounting, Economics or Business Administration.
- At least 10 years of relevant experience, preferably within a highly rated international bank.
- Minimum 3 years in managerial position in loan documentation function.
- Strong Corporate Banking experience is essential.
The ideal candidate should present broad commercial banking experience, including exposure to:
- Contracting and structured financing transactions
- Syndicated lending
- LMA documentation
- Relationship Management (RM)
- Credit Administration
